MAIN PURPOSE:
To promote a welcoming and professional branch image, through the efficient handling of clients, staff, and business associates' queries, whether telephonically or by personal contact, and the co-ordinating of administrative activities for the branch.
KEY RESPONSIBILITIES:
ò Receiving of documentation returned by clients and ensuring that these are properly accounted for/passed to the relevant agent/member of staff ò Compilation of advertising material ò Compilation of show-house brochures and portfolios ò General office duties including the ordering of office supplies, stationery, general correspondence, faxing and filing ò Internet activities and e-mail correspondence ò Man switchboard and reception area ò Work alternate Saturdays ò Assist with walk-in business ò Petty cash
KEY COMPETENCIES:
ò Matric compulsory ò Previous experience in secretarial duties essential (2-3 years) ò Excellent telephone and front office manner/well-spoken and well- groomed ò Good interpersonal skills/service orientation ò Have friendly and courteous demeanour ò Bilingual (English and Afrikaans) ò Be able to take telephonic messages efficiently and accurately ò Computer literate (Ms Office, Internet explorer, Excel) is essential ò Be able to work in a busy pressurised environment ò Attention to detail, accuracy and ability to handle correspondence with own initiative
